Overview
Document flows are fully customizable sets of documents that a company can choose to send to a customer. These document flows serve as a more generic version of Quotes and Confirmations and do not update the project status. They offer flexibility for companies to send documents at any stage of the move process.
Document flows are useful for various purposes:
- Pre-move: Such as valuation coverage, packing services, and upsell offers.
- Post-move: Including collecting reviews, handling claims, and more.
Accessing Document Flows
To access and manage document flows, navigate to the Settings → Documents section of your account. Here, you can view and edit the Document Library (templates) and manage your Document Flows.

Document flows can be configured for specific project types or applied to all project types. The screenshot above shows all available document flows that have been created for your company.
Creating a Document Flow
To create a new document flow, follow these steps:
1. Create an Email Template
Before creating a document flow, you'll need to create an Email Template that will be used with the flow. Below is an example of an email created for a "Packing Services" document flow:
- The email template must include the
{DOCUMENT_FLOW_URL}
variable to provide a clickable link for the customer. Commonly, you can highlight selected text in the email to turn it into a clickable link.
2. Document Flow Configuration
Once your email template is ready, follow these steps to configure your document flow:
- Name - Give the flow a clear and useful name to help identify it.
- Description - Add a description to explain the purpose of the flow.
- Default Email Template - Select the default email template that will be sent to the customer. You can choose a different email template when sending the flow if needed.
- Set Expiration - Enable this option if you want the flow to automatically expire after a set period.
- Attach Documents as PDFs - Enable this option to include a PDF copy of each document in the email.
- Project Types - Choose which project types this flow should apply to.
- Assign to All New Project Types - Enable this option to automatically apply the document flow to any future project types that are created.
With this, you can fully customize how documents are sent throughout the move process.
