Create a Bill Template

Overview

Bill Templates are used to automatically apply a set of Billing items, such as -- Supplies, Fees, Discounts, onto a Project or Job. In this article, we will cover:

• Creating a Bill Template
• Applying a Bill Template by Default

Note: Before diving into Bill Templates, it's important to understand how Projects and Jobs differ when it comes to Bills. Please start by reading the Project Bills and Job Bills article

Creating a Bill Template

Steps to Follow

1. Click on the Settings icon from the upper right-hand corner

2. Scroll down to the Billing section and click on View/Edit Billing Settings

3. Click on View for the library you'd like to create the new template for

4. Select the Bill Templates tab on the top of the page

5. Click on +New Bill Template

6. Fill in the information in the popup to create a new bill template as follows:

• Bill Template Name: This name will display on the customer's Invoice. We typically see Moving Services, Storage Services, or something similar here
• Bill Template Description: This name will display in smaller text on the customer's invoice
• Bill Items: Please add all desired Supplies, Fees, and Discounts from the Add Bill Items from Billing Library field
• Bill Rules: Please add all desired Bill Rules from the Add Bill Items from Billing Library field

7. Once done, click on Save in the upper right-hand corner and the template will display along with all others

Applying a Bill Template as Default

Now that you have set up a new Bill Template, applying this template to a specific project or job type may be helpful by default moving forward. 

Steps to Follow

1. Click on the Settings icon from the upper right-hand corner

2. Scroll down to the Projects and click on View/Edit Project

Steps to follow for Project Level Bills

3A. Select the Edit (pencil) icon on the relevant Project Type

4A. Select the desired Bill Template from the Default Bill Template(s) dropdown and Save

Steps to follow for Job Level Bills

3B. Click on the relevant Project Type name to access Job Types

4B. Select the Edit (pencil) icon on the relevant Job Type 

5B. Select the desired Bill Template from the Default Bill Template(s) dropdown and Save

Congratulations! You successfully created and applied a Bill Template -- this Bill Template will now automatically apply on all relevant Projects and Jobs moving forward!
