Overview
Project cancellations are now a project-level action. When a project is cancelled, we retain key information such as jobs, dates, revenue, and status. This enables comprehensive reporting on booked, completed, and lost revenue over time.
Additionally, cancellation reasons can help track why leads and booked projects are lost, to improve business strategies and reduce lost opportunities.
Configuring Cancellation Reasons
Accessing Cancellation Settings
To manage cancellation reasons, navigate to:
Settings → Projects → Cancellations
On this new Cancellations settings page, companies can create and manage a list of cancellation reasons that their team can select when cancelling a project.
- Default reasons are provided, but the list is fully customizable by the company.
- Teams can select from these predefined reasons when cancelling a project, ensuring consistent tracking and reporting of lost revenue.
Cancelling a Project
Where to Cancel a Project
Cancelling a project is now a project-level action, eliminating the need to cancel individual jobs one by one.
To cancel a project:
- Open the project.
- Go to Project Actions in the top menu.
- Select Cancel Project.
Providing a Cancellation Reason
When cancelling a project, a cancellation reason dropdown will appear. The user must select a reason from the predefined list. There is also an option to add additional details in a description box.
What Happens After a Project is Cancelled?
- A banner appears at the top of the project page, clearly indicating that the project has been cancelled.
- The banner displays:
- Time of cancellation
- Selected cancellation reason
- Additional details (if provided)
- The project retains its original status before cancellation (Lead, Hold, or Booked), ensuring accurate reporting.
Removing a Job (Instead of Cancelling)
In addition to cancelling full projects, companies can now remove individual jobs instead of cancelling them. This provides greater flexibility in project management.
How to Remove a Job
To remove a job:
- Open the job within the project.
- Go to Job Actions in the top menu.
- Select Remove Job.
What Happens When a Job is Removed?
- The job is completely removed from the project, including its associated dates and revenue.
- A confirmation message will appear before removal to prevent accidental deletions.
- Removed jobs are not permanently deleted—they can still be viewed by enabling the Show Removed Jobs toggle on the right.
- Removed jobs will be displayed with a "Removed" badge for reference.
Viewing Cancelled Projects in the Projects List
The Moves → Projects List remains unchanged. However, all cancelled projects are now grouped under the Cancelled status.
Key Enhancements:
- Unlike before, dates, revenue, and other project details are retained for cancelled projects.
- This ensures cancelled projects still contribute to reporting and analytics, providing deeper insights into lost revenue trends.
Updated Reporting and Analytics
All reports have been updated to support these cancellation changes.
What’s New?
- Reports can now differentiate between projects cancelled as Leads, Holds, or Booked Projects.
- A new Cancellation Report is in development, allowing companies to analyze where and why projects are being cancelled.
- A Sales Dashboard is also in the works, enabling businesses to review closed lost data over a selected timeframe.
By implementing these changes, businesses can gain better visibility into lost revenue, identify patterns in cancellations, and optimize strategies to improve sales and retention.
