Overview
The new Supermove Inventory Survey tool (also referred to as a bingo card) provides a fast and smooth interface for capturing a customer’s inventory
In this article we’ll discuss all of the steps for capturing an inventory survey:
- Designating the inventory survey method
- Accessing the inventory survey tool
- Adding rooms, inventory items to rooms, and adjusting item details
- Using the survey info while setting up quotes
- Settings and defaults
Designating the inventory survey method
Before starting an inventory survey you can designate the method you will use to complete the survey by choosing an option from the drop-down list
- Home Survey: If you have scheduled an in-person inventory Survey job for your project
- Online or Phone: If you will be completing the survey in-office using photos or lists that the customer has provided
- Virtual Walkthrough: If you will be sending the customer the Virtual Walkthrough link to complete their own video survey of their home (See Virtual Walkthrough article for more info)
Accessing the Inventory Survey Tool
To begin the inventory survey, navigate into the project and click on the Survey Items button
Adding rooms, inventory items to rooms, and adjusting item details
- Start by using the + Add Rooms drop-down list to add at least one room to the survey. You can add rooms as you go, or all at once
- When you have added a Room and have that room actively selected, you will see a list of the most common items found in that room within the left-hand sidebar
- Begin adding Items to the Room as you see them during the survey. The survey tool will automatically save your progress occasionally as you go, but you can manually save at any time by clicking the Save button in the top right corner. Note, you can use the search bar above the list to quickly find a certain item
- You can access other items that may not be common to that room by using the item filters. If you aren’t seeing an item you want, the simplest way is to select the All category which will display all items in all room categories
- As you add items, if there is more than one of the same item in a room, you can adjust the quantity using the + and - buttons or by typing a quantity in the number field
- By default, every item will assume you are going to take the item as part of the move. If you need to note that a specific item is not part of the move, you can uncheck the Take box next to that item
- If you need to add an unusual item that isn’t in your inventory library of items, you can quickly add a custom item by clicking the + Custom Items button. Once created, you can adjust the name, quantity, and specifics of the item by clicking in the fields
Tip: Custom items will not be saved in your inventory library and will only be added to the inventory survey for this specific project - You can add notes to the overall survey in the bottom left corner, or you can add notes to specific items using the Notes field next to that item
Tip: Rooms and common items within each room are set in your inventory library. If you need to make any changes to your inventory library you can contact our Customer Support team for assistance - Once you are finished adding rooms and adding items to rooms, and your inventory survey has been saved, click the < Back to Project button in the top left corner to return to the project page
Tip: You can leave and enter an inventory survey as many times as needed, returning to it to edit items, add items, remove items, etc.
Using the Survey Info while setting up Quotes
Once you have completed your Inventory Survey and returned to the project page, you will be able to see a summary of information and potentially use the Survey Items to help you create the bill as you build a Quote
Helpful Tips:
- In the survey section, you will see several summaries, such as the total estimated volume and weight, or the total number of non-carton items you’ll be moving
- If you have added pricing to items in your inventory library, such as individual carton prices, and you have added those items to the inventory survey rooms, you can generate a bill to add those line items with pricing to your project. Simply click the Generate Bill button and a new bill will be added to the project with all of the surveyed items that have pricing associated
Settings and Defaults
There are several settings that will help you set defaults related to Inventory Surveys if desired
Helpful Tips:
- Under Settings > Inventory > General you can edit, add, or remove options from your survey methods. As mentioned above, these don’t affect anything on the inventory survey itself, but simply help you keep track of how you completed the inventory survey
- Under Settings > Inventory > General you can edit the standard Density Factor of 7 lbs/cu ft to your desired amount
- Under Settings > Project Types (after you click on a specific Project Type), you can access the Survey settings for that project type
- Here you can choose a specific survey method for that specific project type by clicking Edit next to the Inventory section. For example, if you always prefer to do an in-home survey for long-distance moves, you could set your Interstate project type to always have In-Home Survey as the default survey method
- In these settings, you can also designate default rooms to automatically appear anytime you start a survey within that project type. For example, if you always want Local Move surveys to contain a Bedroom, Living Room, Dining Room, and Kitchen, you can choose those rooms as defaults by clicking the + Add Rooms drop-down list
